2. Data we process and why

When you contact us or submit the application form, we may process a parent’s or guardian’s name, contact details, information about the child, date of birth, languages spoken at home and the content of your message. We use this information to respond, manage admissions, arrange a visit and prepare appropriate care.

Processing may be necessary to take steps at your request before entering into a contract, perform a contract, comply with the setting’s legal duties, protect vital interests, or pursue our legitimate interests such as safety, correspondence management and legal claims. Where consent is required, it may be withdrawn at any time.

Please do not provide information that is not needed for your enquiry. Supplying form data is voluntary, but without required information we may be unable to contact you or process an application.

3. Form, map and third-party services

The application form is embedded from Google Forms, directions use Google Maps, and the website is hosted on Google Firebase. These providers may receive technical data such as an IP address and device or browser information under their own privacy terms.

With your consent, we use Meta Pixel to measure advertising performance. Declining does not affect the website’s essential functions. You can revisit your choice using the “Cookie settings” button.

4. Recipients and transfers outside the EEA

Data may be entrusted to hosting, email, form, childcare-management and IT-support providers only to the extent required to provide their services. Authorised public bodies may also receive data where required by law.

Some technology providers may process data outside the European Economic Area. Where this occurs, legally required safeguards are used, including adequacy decisions or standard contractual clauses.

5. Retention

Enquiry data is retained for as long as needed to respond, manage admissions and, where relevant, enter into an agreement. Care-related information is kept while the agreement is performed and afterwards for periods required by law or necessary to establish, pursue or defend legal claims.

Data processed on the basis of consent is kept until consent is withdrawn, unless another legal basis allows continued processing.

6. CCTV at the premises

Marked areas of the premises are monitored around the clock. CCTV records video without sound and does not cover sanitary rooms. It is used to protect children and staff, property and confidential information.

Recordings are normally retained for 7 days and then automatically overwritten. They may be secured for longer where they are, or may become, evidence in proceedings. Access is limited to authorised people and competent authorities.

7. Your rights

Depending on the legal basis, you may have rights of access, rectification, erasure, restriction, data portability, objection and withdrawal of consent without affecting earlier lawful processing.

You may lodge a complaint with the President of the Polish Personal Data Protection Office (UODO). We encourage you to contact us first so we can try to resolve the matter promptly.

8. Security and policy changes

We use organisational and technical safeguards appropriate to risk, restrict access and require authorised people to maintain confidentiality. We may update this policy when our services, processes or applicable law change. The current version will always appear on this page.
